How to create and manage members and permissions

Joturl's team management system is very stable and has long been able to offer excellent solutions for companies and enterprises with a large number of people and collaborators.

It's possible to monitor the organization of all your teams directly from the Joturl Dashboard.

All you have to do is log in, click on your account icon in the upper right corner and click the word "Team". 

In this way you will enter the page to organize and customize your teams. 

You can choose how many and which members to access in your project and you can have control of the situation at any time. 

The Team section is divided into two categories: Members and Permissions. 

MEMBERS

In this section you can add subusers and teammates to your projects.

If you have never added a member to your team, you will not find anything on the page, just a button at the top right: "Add team member".

This button should be pressed whenever you want to add a member to your team.

Through the "Add team member" button you will find a form to fill in with the data of your new employee.

To add the member you will have to fill in all the required fields: full name, email, etc.

Allow access to the entire account, by changing this setting the user will be forced to log in again.

If checked, the sub-user will be able to access all the account of the sub-user who created it. However, the permissions assigned will be respected (’Read / write" or "Read-only’).

By pressing this check, in short, the new member will be able to access all your projects, but it will always be you who decides if he will only be able to view them or if he will have the possibility to modify them. 

Once you've filled in the various information requested, click on the green "Save" button.

This will create a cell with all the data related to your new member.

The person you want to add to the team will be notified with an email sent to their address and will be able to directly access your project through the degrees of authorization you have selected. 

In the search bar at the top, you can search for any team member, even if you have dozens of different people inside.

You can also see if the submitted request has been accepted or if it isn't yet. 

You can edit each cell at any time by pressing the pen icon on the right. 

So if you want to change a person's permissions you can do it even after creating the cell.

You can delete unused cells by clicking on the bin icon, always on the right. 

In this screen you will be able to view all team members and monitor any other member added later. 

Furthermore, by clicking on "Members tree" within the Team section on the left, you will be able to get the whole tree of members nested in your account, along with information about the Last login, their current status and, eventually, the Permission template name associated to them.

PERMISSIONS

Any new user added to your team can have a  specific permission.

You can create as many authorization templates as you want.

There is the possibility of creating a tailored permission for an user who will need special permissions, or create a generic template to be assigned to a good number of different people with minimal effort.

To create a new template for your authorizations you must always remain within the Joturl dashboard, in the area of your account named: Team. 
Then click on the voice: Permissions.

At the top right of the page of your authorization templates you will find the "Add permission" button.

Once you click the button you can set all the terms of your permissions.

First you will have to name your authorization, and add notes that can help you recognize it among others. 

Entering notes can be an excellent strategy for remembering information that you may forget over time. 

Then go to the permission settings area. 

There is a list of sections where you can create restrictions or permissions:

• APIs
• Advanced Security
• CTAs
• Conversion codes
• Domains
• Plans, subscriptions and billing
• Projects
• Remarketing pixels
• Team members

Within the projects item, for instance, you can decide:

If your sub-user can create projects, can edit projects or if he Can delete projects! 

You can also decide whether to allow Access to default project. 

As for the domains instead, you can decide:

If your member can create domains, can edit domains or if he can delete domains. 

You can also decide which projects it can access. By limiting projects you want to keep confidential. 

Just select the name of the projects from which you want to exclude your user in the drop-down menu. 

Other similar limitations may apply to CTAs, APIs, Remarketing Pixels, Plans subscriptions and billing, Conversion Codes, Team members, and also Advanced Security - which is very useful for preserving the security of environments with many members/users like, for instance, in larger Enterprises.  

In each case the permissions you give to your users must be carefully thought out.

Giving free access to the ability to create, modify or delete conversion codes, for instance, could be of great impact for your campaigns. 

Also, assigning free access, as members, to people you barely know could be quite dangerous - it's like leaving the keys of your home to a stranger, nobody would ever do it.

For this reason, permissions must be set carefully, making sure to assign the appropriate permissions.

You can also decide to choose only some of the ticks indicated. 

For example, you can allow users of your team to create new CTAs, but you can prohibit the possibility of deleting or modifying them. 

And that's just one of the combinations you can think of.

Each permit can be customized and adapted according to your needs. 

In addition to CTAs, Conversion Codes, Remarketing Pixel, etc., you can create permissions for team management. 

Specifically, your sub-users can decide to add new team members, or they can edit team members and delete team members.

So what happens? 

A sort of pyramid staircase is created, where the project manager creates a new user who in turn can invite members to the team. You can find a specific article at this link.

Remember that if in the creation phase of your team member you have selected the tick: "Read Only", your new collaborator will not have the possibility to create or edit anything, being able to ONLY view your projects.

If you want to make your sub-user able to actively interact with your projects, then remember to tick "Read / Write". 

You can assign the same permission to multiple members of your team and, if you change it, all associated team members will be changed at the same time. 

However, be careful as permissions do not act retroactively on team members created by other team members or on "objects" created before changing the permission.
